Stakeholder Email Generator
Homeowners and investors want regular updates, but writing professional project emails from scratch every week takes time you do not have. The Stakeholder Email Generator drafts polished, branded owner update emails using your actual project data and recent daily logs. You review the draft, make any edits, and send — all without leaving Baulit.
Requirements
- Pro or Enterprise subscription. AI features are not available on the Free tier.
- Anthropic API key. A valid key must be saved in Settings → AI Configuration. See BYOK Setup.
Generating an Email
What the AI Includes
The generated email draws from your actual project data to produce a professional update. The content typically covers:
- Project status summary. Overall completion percentage, current phase of construction, and general progress since the last update.
- Recent work performed. A summary pulled from your most recent daily log entries, covering what trades were on site and what was accomplished.
- Upcoming work. Based on task statuses and schedule, the AI outlines what to expect in the coming days or week.
- Any notable issues. Delays, weather impacts, or change orders that the owner should be aware of.
The AI does not include sensitive budget data, cost figures, or internal notes in the email. The content is calibrated for an owner audience — informative without overwhelming.
The Email Workflow
The Stakeholder Email modal follows a clear state machine that keeps you in control at every step.
| State | What Happens |
|---|---|
| Generating | The AI is composing the email. A loading indicator shows progress. You cannot edit yet. |
| Preview | The draft is ready. You can edit the recipient, subject, and body. Make changes or approve as-is. |
| Sending | You clicked Send. The email is being delivered. A brief loading state while the system processes. |
| Sent | Confirmation that the email was delivered successfully. You can close the modal. |
Editing Before Sending
The preview state gives you full control over the email before it goes out.
- Recipient. The email address field is editable. You can change it to any valid email address — the homeowner, an investor, a bank inspector, or anyone else who needs the update.
- Subject line. The AI generates a subject line that includes the project name and date. Edit it to match your communication style.
- Body text. The full email body is editable. Add personal notes, remove sections that do not apply, or rewrite paragraphs to match your tone. If you edit the body, the system automatically rebuilds the branded HTML version to match your changes when you send.
Branded HTML Emails
Emails sent through Baulit use a professionally designed HTML template. The template features a navy header with a gold accent line, clean typography, and your company name. The result looks polished and consistent, similar to update emails from established construction management platforms.
Every email sent through this feature includes:
- An AI-generated badge that discloses the email was drafted with AI assistance
- A disclaimer noting that the content was AI-generated and reviewed by the sender
This transparency builds trust with owners and meets professional standards for AI-assisted communication.
Delivery
Emails are sent through a professional email delivery service (Resend) from the Baulit platform. The email comes from a Baulit address with your company name displayed as the sender name. Recipients can reply directly, and replies go to your project email or the address you configure.
Best Practices
- Send updates weekly. Regular communication is the single best way to maintain good owner relationships. A consistent weekly cadence — even when there is not much to report — prevents anxious calls and emails from the homeowner.
- Keep daily logs current. The AI's email quality depends directly on your daily log data. If your logs are sparse or outdated, the email will lack substance. Consistent daily log entries produce the best owner updates.
- Personalize when needed. If there is a sensitive issue — a major delay, a cost overrun, a design change — do not rely on the AI to communicate it. Edit the draft to address the issue directly and with the right tone for the situation.
- Review before every send. This is the most important habit. A two-minute review catches inaccuracies and ensures the email represents your project accurately.
Usage and Costs
Generating an email counts as one AI call. Sending the email does not consume an additional AI call unless you regenerate the content. See Usage Limits for your monthly allowance.
