Documentation Export
The Documentation Export generates a comprehensive, print-optimized package of your entire project record. It pulls together task data, daily logs, change orders, activity history, and file inventories into a single document you can print or save as a PDF. This is your project binder in digital form — useful for closeout packages, dispute documentation, lender records, or simply archiving a completed build.
Accessing the Export
The Six Sections
The documentation package is organized into six sections, each with its own header and page breaks for clean printing.
1. Cover Page
The cover page includes:
- Project name, address, and type
- Project start date and target completion date
- Your company name and logo (pulled from Company Profile)
- Date the report was generated
- Table of contents listing all six sections
- Disclaimer statement (see below)
2. Project Summary
A high-level overview of the project's current state:
- Total budget, amount spent, and remaining balance
- Task completion percentage
- Count of overdue and blocked tasks
- Change order summary — total number and net financial impact
3. Task Detail
A full table of every task in the project, organized by phase. Each row includes:
- Task name and status badge
- Duration in working days
- Predecessors
- Budgeted cost, actual cost, and remaining cost
- Individual cost line items (itemized under each task)
A grand total row at the bottom sums all budgeted and actual costs. Over-budget tasks are flagged with warning indicators.
4. Daily Logs
All daily logs for the project, listed in chronological order. Each log entry includes:
- Date
- Weather conditions
- Crew members on site
- Work performed
- Delays, issues, or notes
Daily logs are loaded on-demand from Supabase when you open the export. For projects with many months of logs, this may take a few seconds to load.
5. Change Orders
Full detail on every change order in the project:
- Change order number, title, and description
- Requested amount and approved amount
- Net budget delta (positive for additions, negative for deductions)
- Status (draft, submitted, approved, rejected)
- Date submitted and date resolved
6. Activity Log
A reverse-chronological record of significant actions taken on the project. This includes task status changes, budget updates, team member additions, and other tracked events. The activity log provides an audit trail of who did what and when.
7. File Inventory
A listing of all files and attachments uploaded to the project:
- File name
- File type (PDF, image, document, etc.)
- File size
- Level (project-level or task-level)
The file inventory lists metadata only. Actual file contents are not embedded in the export — attachments live in Supabase Storage and must be downloaded separately if needed.
The Disclaimer
Every Documentation Export includes a disclaimer on the cover page and in the footer of every section:
This disclaimer protects both you and your stakeholders by setting clear expectations about what the document is and is not.
Use Cases
Project closeout
At project completion, generate the full documentation package as your closeout binder. It captures the complete project history in one document: every task, every daily log, every change order, every file. Print it or archive the PDF for your records. Dispute documentation
If a dispute arises with an owner, sub, or lender, the documentation package provides a factual record of what was planned, what was done, and what changed. The daily logs and change orders are particularly valuable as they document decisions and delays in real time.
Lender compliance
Construction lenders often require periodic documentation of project progress. The documentation package gives them task-level detail, budget tracking, and daily logs without requiring access to your Baulit account.
What is Not Included
- File contents: The export lists files but does not embed their contents. Download attachments separately from the Files tab.
- AI-generated content: No AI narrative, commentary, or analysis. This is raw project data only.
- Gantt chart image: The Gantt chart is an interactive SVG and does not export to print. Use a screenshot if you need to include the Gantt in a document.
