Adding and Managing Tasks
Tasks are the building blocks of every project in Baulit. Each task represents a piece of work that needs to get done: pouring a foundation, framing walls, running electrical, scheduling an inspection. This guide covers everything you need to know to add, edit, organize, and delete tasks.
Adding a Task
Adding tasks is fast and designed to keep you in a flow.
- Open your project and go to the Tasks tab.
- At the bottom of the task list (or inside a phase), you will see a text input field.
- Type the task name — for example, "Pour foundation" or "Install roof trusses."
- Press Enter or click the Add button.
The task appears in the list immediately. You can keep typing to add more tasks one after another. Each task starts with the status "Not Started" and no duration or assignment.
Creating Phases
Phases are group headers that organize your tasks into logical sections. Common phases in residential construction include Site Work, Foundation, Framing, Rough-Ins, Drywall, Finishes, and Closeout.
- In the task input field, type the phase name (e.g., "Foundation").
- Check the Create as phase checkbox next to the input field.
- Press Enter or click Add.
The phase appears as a bold section header. Tasks added below a phase are grouped under it. You can collapse and expand phases to focus on the section you are working on.
Editing a Task
Click on any task in the list to expand its detail row. The expanded TaskRow shows all editable fields:
Task Name
Click the task name to edit it. Press Enter or click away to save. Use clear, specific names that your team will understand: "Frame second floor walls" is better than "Framing."
Status
Every task has one of five statuses. Click the status dropdown to change it:
| Status | What It Means | When to Use |
|---|---|---|
| Not Started | Work has not begun. | Default for new tasks. Leave this until work actually starts on site. |
| In Progress | Work is actively happening. | The crew is on site working on this task today. |
| Pending Approval | Work is done but needs sign-off. | Waiting for an inspection, client approval, or manager review. |
| Complete | Work is done and approved. | The task passed inspection or was signed off. No more work needed. |
| Blocked | Work cannot proceed. | Something is preventing progress: waiting on materials, weather delay, permit hold, or a predecessor task is not finished. |
For a deeper look at how statuses drive your project schedule and reports, see Task Statuses & Workflow.
Duration
Enter the expected number of working days this task will take. Working days exclude weekends. If a task takes one calendar week, enter 5 (not 7). Duration drives your Gantt chart timeline and critical path calculations.
Assigned To
Select a team contact from the dropdown to assign the task. Assigned team members will see this task in their view when they log in. If no one is assigned, the task is unassigned and only visible to admins and managers.
You must add contacts to your project before you can assign them. See Inviting Your Team to learn how.
Predecessors
A predecessor is a task that must finish before this task can start. This is called a Finish-to-Start (FS) dependency. For example, "Pour foundation" must finish before "Frame first floor" can start.
You can type a predecessor task name in the predecessor field, or use the Dependency Wizard on the Gantt tab to build your full dependency network visually.
Notes
Add free-text notes to any task. Use this for special instructions, material specs, contact info for the sub, or anything your team needs to know about this specific task.
Reordering Tasks
Tasks can be dragged into any order within the task list.
- Hover over the task you want to move. A drag handle (three horizontal lines) appears on the left side.
- Click and hold the drag handle.
- Drag the task up or down to the desired position.
- Release to drop it in place.
You can drag tasks between phases too. Drop a task under a different phase header and it will move into that phase.
Assigning Tasks to Team Members
Assigning tasks is how you delegate work to your team. When a contractor logs in, they see only the tasks assigned to them. When a stakeholder logs in, they see overall project progress.
- Click on a task to expand it.
- Click the Assigned To dropdown.
- Select a team member from the list.
You can change the assignment at any time. To unassign a task, select the blank option at the top of the dropdown.
Deleting a Task
Baulit uses a two-step confirmation to prevent accidental deletions. There is no "undo" for deleted tasks.
- Click on the task to expand it.
- Click the Delete button. A confirmation prompt appears inline (not a pop-up).
- Click Confirm Delete to permanently remove the task.
